Chapter V-1. Add a Collection and Specimen

An individual collection/specimen can be added to Atrium through this online process. Data values from the first specimen can be used to populate the data fields for the subsequent specimen. The Edit Collection panel collection is the same as the Create a New Collection panel except the Determination section is not included on the Edit Collection panel. Steps 8 through 10 are not included in that case.

  1. Select

    The Create a New Collection panel opens.

  2. Select a collector. You cannot add a new collector here, so selecting an existing collector from the drop-down list is your only option for filling this field.

  3. Type the collection number. If it already exists in the system, the rest of the data values are loaded into the data fields and the specimen number incremented.

  4. The specimen number is automatically set.

  5. Type the collection team. This field should include everyone on the team by one or two initials and last name, separated by commas.

  6. Use the calendar control to set the date of collection or type the date in the format YYYY-MM-DD (four digit year, dash, numeric month, dash, numeric day of month).

  7. Type the accession number if available.

  8. Type or change the data values as needed. For family, genus, specific epithet and infra-specific taxa, choose a value from the drop-down lists. If the names you need are not in the drop-down list at that level, type the name in the data entry field to the right of the drop-down list. If you type in names, please check the spelling carefully.

    When you choose a family, the genus drop-down list is generated based on the collections already in the system for that family, and not the genera in the entire system. This process is repeated for the Specific Epithet and Infra specific Taxa: selection of the upper taxon limits the available entries in the drop-down list at the lower level.

    As you type or select genus and specific epithet, the names are added to the title of the panel and the species name in the Determination section where the taxa names are set.

  9. If you are typing this collection as determined, use the calendar control to set the date sent and date received, or type the dates in the data entry fields in the format YYYY-MM-DD (four digit year, dash, numeric month, dash, numeric day of month).

  10. Select the determiner's name and institution from the drop-down lists provided, or type the names in the data entry fields.

  11. Select the continent, country, region and sub-region from the drop-down lists provided.

  12. Type the closest town name.

  13. Type the locality summary, locality description, and locality site specific.

  14. Type the coordinates, using either decimal degrees (DD) or degree/minutes/seconds (DMS).

  15. Type the coordinate uncertainty.

  16. Type the minimum and maximum elevation.

  17. Type the habitat description, habitat summary and soil description.

  18. Select the type of habitat from the drop-down list.

  19. Type any plant notes.

  20. Type the minimum and maximum height for the collection in meters.

  21. Type the minimum and maximum DBH in centimeters.

  22. Type the local name for the collection.

  23. Select the habit from the drop-down list.

  24. Select a research site from the drop-down list.

  25. Select a project from the drop-down list.

  26. Select a basis of collection from the drop-down list.

  27. Click the "Add Collection" button to save the data values typed. If you want to exit this process without saving the data, click the "Cancel" button or select other navigation bar options.

Collections and specimens can be added in bulk using an Excel spreadsheet as a data template. Chapter VI-2, Format for Data Loading explains the data template and Chapter VI-3, Load Collection Data Into Atrium contains the instructions for loading the collection data into Atrium.
