Chapter II-10. Reducing The Collection List Using Filters

Filters For The Collection List: The Collection List on the Collections tab of the Collection/Specimen display can be reduced at any time by using the filters. The fields available for filtering the Collection List include: Family, Genus, Species, Collector, Country, Region, Project, Habit and Habitat. The values in each drop-down list are limited to the values included in the collections already in the Collection List. Therefore the filter fields only allow you to remove unwanted collections from the Collection List. You cannot add collections to the Collection List using these fields. In addition, Collection Date From, and Collection Date To can be used to limit the Collection List to a specific period of time.

The filters are designed to reduce the Collection List before labels are printed, the collection data is exported to a file or the collections are added to a workspace.

Procedure: 

  1. Click the "Show Filters" control if it appears on the Collections tab of the Collection/Specimen display. It appears immediately below the title of the tab. If the filter fields are already visible, this is not necessary.

  2. Click on the down arrow at the right edge of the drop-down list to select the field to be used to reduce the Collection List. If you wish to close the list without selecting a value, click the down arrow again and the list closes without a value begin selected. You can also select the "show all" value at the top of the list to close the drop-down list without actually selecting a specific value.

  3. Select one value from the drop-down list to be retained in the Collection List, like Aquajal Project in the Project list. As the click on the value is released, the Collection List is modified to contain only this value. A "Generating results. Please wait..." message is displayed until the Collection List is modified.

  4. Use the calendar controls to set the time period to limit the Collection List, if desired. Either calendar control may be used, or both. As each is set to a specific date, the Collection List is reduced accordingly. A "Generating results. Please wait..." message is displayed until the Collection List is modified.

  5. Select one or more values from the Habit and Habitat lists. Multiple values can be selected by pressing the Ctrl key when selecting values after the first one. Click the "Refresh List" button to apply the habit and habitat selections to the Collection List. A "Generating results. Please wait..." message is displayed until the Collection List is modified.

Note

To reset the Collection List as if the filters had not been applied, click the "Hide Filters" control and the Collection List is returned to its initial state. It is also necessary to do this if you want to begin a new search of the collections without the filters being applied to it. That is, the filtering conditions are applied to the Collection List until you close the filters or the Atrium application. Just moving to other options on the main navigation bar does not reset the filters. To be sure that the filters are no longer in effect, go to the Collections tab of the Collection/Specimen display. If the filters are visible, they affect your Collection List.

The Images tab of the Collection/Specimen display has a similar filters section:

These filters operate to reduce the Collection List on the Image tab in a similar manner as the ones above reduce the Collection List on the Collections tab.
