Chapter IX-11. Print Collection Labels En Mass

Atrium provides several ways to print collection labels, including for short lists of related collections or for a single collection. See Print Labels: for information on printing labels for these conditions. To print collection labels by collector and for many unrelated collections, you need to use the Generate Labels process. To open the Generate Labels panel, on the Digital Herbarium navigation bar, select

ToolsGenerate Labels

To print labels for a collector: On the Collector tab of the Generate Labels panel,

  1. Click the down arrow on the drop-down list of collectors to select the collector needed. The list of collection numbers in Atrium is created once the collector is chosen.

  2. In the list of collection numbers, click the number of the first collection for which you need labels. This sets the beginning of the range for which labels are printed.

  3. Enter the number of collections to be included in the set of labels. If the collection numbers are in order and there are few missing numbers in the series, determining this number is just a case of subtracting the starting collection number from the last collection number, and then adding one. If there are gaps in the collection numbers, you need to count the collections desired, or guesstimate the number. Once the labels are generated and displayed in Adobe Reader, you can limit the pages printed, so it is better to guess on the high end of the number of collections needed if an accurate count is not easily reached.

  4. Enter the number of labels for each collection to be created. The label request panel should look like this:

  5. Click the "Generate Labels" button.

The labels open in Adobe Reader. Use the paging mechanism to determine the last page of labels needed, then use File / Print to print the pages of labels. For more information on the print capabilities of Adobe Reader, please see the Adobe Reader help files.

To print labels for a large number of collections without worrying about any relationship between them, use the Batch tab of the Generate Labels panel.

  1. Click the Batch Input tab of the Generate Labels panels.

  2. In the data entry field, type the collector abbreviated name (which should not have spaces and should have periods after the initials)

  3. comma

  4. collection number

  5. comma

  6. number of labels to be printed for this collection

  7. Press the Enter key to go to the next line of the data entry field.

  8. Repeat steps 2 through 7 for each collection for which labels are to be created. When completed, the label request panel should look like this:

  9. Click the "Test Input First" button to check your input if you wish.

  10. When you are satisfied with the data in the input list, click the "Process Batch Input" button.

The labels open in Adobe Reader. Use File / Print to print the pages of labels. For more information on the print capabilities of Adobe Reader, please see the Adobe Reader help files.
